What we collect when you use the support portal, and what we do with it.

Information we collect

When you submit a support request or sign in, we collect your name, email address, company details, the content of your messages, and any files you attach. We also keep a record of ticket activity such as status changes and replies.

How we use your information

We use this information to identify you, respond to your request, keep you updated by email, and improve the quality of our support. We do not sell your personal data or use it for advertising.

Google sign-in data

If you choose to sign in with Google, we receive only your basic Google profile: your name, email address and profile picture. We use it to create and identify your helpdesk account, to show who raised or replied to a ticket, and to email you ticket updates. We do not sell Google user data, use it for advertising, or share it with anyone other than the hosting and email providers that operate this portal. This data is kept for as long as your account exists and is deleted when your account is removed. You can ask us to delete your account at any time.

Sharing

Your information is visible to the support staff assigned to your organisation and to service providers who help us run the portal, such as our hosting and email delivery providers. We may also share information where we are required to by law.

Retention and security

Tickets and attachments are kept for as long as we need them to support you and to meet our record-keeping obligations. Access is restricted to authorised accounts, and attachments are scanned before they can be downloaded.

Your choices

You can ask us to correct or delete your account details, or request a copy of the personal data we hold about you. Contact the support team and we will help.
